Reservations and confirmation
A reservation at the Rival Hotel is considered binding as soon as it has been confirmed and the guest has received a booking reference. This may be given verbally, in writing or through the booking system. Reservations made via our website will be confirmed by email within 30 minutes. If no confirmation is received then the guest should contact the hotel immediately. The guest is responsible for checking that all details of the confirmation are correct, so please check the confirmation carefully. The Rival Hotel reserves the right to correct errors and/or update the content of our booking terms & conditions at any time without notice.
In the event of a complaint the guest should contact the reception immediately. In the unlikely event that the Rival Hotel cannot provide a room that corresponds to the guest’s booking confirmation, the guest is entitled to, without additional cost, a similar or better room at the hotel or at another hotel of similar standard.
Method of guarantee
All hotel room reservations must be guaranteed with a valid credit card. Non-refundable bookings are automatically guaranteed when the booking is paid in full. The Rival Hotel reserves the right to cancel any bookings that are not guaranteed as stated above without informing the guest.
The hotel’s cancellation and modification policy varies depending on the room rate/category. The guest is responsible for checking the conditions of the reserved room rate/category. Best Available Rate category bookings can be cancelled at no cost up to 6pm CET the day before arrival. Cancellations made later than 6pm on the day before arrival will result in a cancellation charge equal to the cost of the first night, room + tax (the credit card used to guarantee the reservation will be charged automatically.) If the guest does not check in, the reservation is considered cancelled at 8.00am the day after confirmed arrival date. Non-refundable bookings can be cancelled but will not be refunded, nor can they be moved to another date. Once a cancellation is made the guest will receive a cancellation number confirming the cancellation. Group bookings are bound by the terms and conditions stipulated on the group booking confirmation.
Should guests decide to shorten their stay, they must inform the hotel before 6.00pm on the day prior to their new departure date, otherwise they will be charged a late cancellation fee.
Modifying a reservation
Unless otherwise stated in the room rate/category description, reservations can be modified up until 6pm on the day before arrival. If changes are made to the date and/or length of the stay or number of guests, the rate will be adjusted to reflect the applicable rate. Transferring a reservation to another person or letting another person stay in the room without the hotel’s consent is not permitted. No changes may be made to non-refundable reservations.
Methods of payment
Non-refundable reservations are charged in full to the credit card provided within 24 hours. Any hotel rooms booked with an invalid credit card are subject to immediate cancellation by the hotel. All other reservations can be paid upon arrival. Frontdesk does not accept cash payments. To pay in advance or by invoice, please contact Reservations at least 2 weeks prior to arrival.
Check in & Check out times
Check in time for guests with a reservation at the hotel is from 2pm and check out is from 12 noon, unless otherwise stated in the room rate.
According to the Swedish Aliens Ordinance, the Rival Hotel must make sure that foreign guests provide information about themselves on personally signed registration forms. Foreign guests must confirm his or her identity by producing a valid identity document. These rules are based on the Schengen agreement within the EU.
A limited number of rooms with disability access are available for guests with disabilities. These must be reserved at the time of booking and in direct contact with Reservations at the Rival Hotel.
Use of hotel rooms
Minors under 18 years of age may not stay at the Rival Hotel without a guardian. The Rival Hotel do not offer long-term housing, a hotel stay cannot be longer than 30 consecutive nights. The number of guests per room may not exceed the number of people permitted and checked in for the room rate/category. A limited number of rollaway beds and cots are available to book in certain room categories. These must be reserved at the time of booking and in direct contact with Reservations at the Rival Hotel. A cot can be booked free of charge for children under 4 years of age. A rollaway bed must be reserved and paid for extra guests over 4 years of age, exceeding the limit of two guests per room. Guests may not use the room other than, as intended, for accommodation. Unless otherwise agreed with the Rival Hotel, it is not permitted, for private or commercial purposes, to host parties or events, engage in sales or any kind of trade or business in the hotel or hotel rooms. Neither is it permitted to take photographs of the Rival Hotel’s property and interiors for public or commercial purposes.
While the majority of our hotel rooms are non-smoking, a few smoking rooms are available. These rooms, subject to availability, must be booked in direct contact with Reservations at the Rival Hotel, after which a written confirmation will follow. Smoking is prohibited throughout the rest of the hotel. Guests who choose to ignore this rule will be liable to compensate the hotel for any cleaning costs and/or loss of revenue incurred.
Pets are not allowed anywhere in the hotel, including the lobby, conference rooms and restaurants. Guide dogs are accepted by prior arrangement made directly with Reservations at the Rival Hotel.
The Rival Hotel strives to fulfil any special requests our guests may have. In order to guarantee a request is fulfilled it must be arranged in direct contact with Reservations and confirmed via email. If the request is not specified in your reservation, the Rival Hotel cannot guarantee that it will be fulfilled upon arrival. Certain requests may be subject to an additional charge, which must be approved by the paying guest or person booking, otherwise the request cannot be fulfilled.
Luggage and guest belongings
Luggage and guest belongings may not be left unattended in the lobby. Luggage may be stored at no extra charge in the Rival Hotel’s luggage room. The Rival Hotel accepts no responsibility, legal or otherwise, for the luggage and belongings of hotel guests left in the lobby, meeting rooms, foyers, restaurant, hotel rooms, in room safe or luggage room. Guests are obliged to inform the hotel if the belongings they wish to store are exceptionally valuable. The Rival Hotel has no obligation to store belongings of high value.
Liability for damage
Guests will be held responsible for any damage that they themselves or their guests cause to the hotel. Any loss or damage to the hotel or disruption of hotel operations by the guest or visitors of the guest shall be chargeable to the guest staying at the hotel. The guest will reimburse the Rival Hotel both for the reparation of damage that has occurred and for any loss of revenue going forward as estimated by the hotel.
Detailed safety information is provided on the back of the hotel room door. It is the guests’ responsibility to make themselves familiar with the location of the hotel’s emergency exits, alarm buttons and fire extinguishers. Force majeure incidents including but not limited to strikes, lockouts, fire, explosion, war or warlike conditions/terrorism, substantial shortage of supplies, and other circumstances beyond the control of the Rival Hotel entitles the hotel to cancel a booking without any obligation to pay damages.
Changes in rates
If the cost of procurement or provision of the agreed goods or services would increase as a result of higher taxes, currency devaluation, decisions by public authorities or similar, the Rival Hotel is entitled to impose surcharges corresponding to the increase in costs.
Disputes arising from the interpretation or implementation of these terms and conditions shall be settled by the Swedish court. The Rival Hotel is a member of Visita and is committed to complying with the decisions of the Visita disciplinary board. If the Rival Hotel does not accept a reclaim from a guest the dispute can be tried by Allmänna reklamationsnämnden (ARN). The guest can in this case contact ARN at www.arn.se or BOX 174 10123 Stockholm. Guests can also find guidance on the EU-Commission online platform.
The following conditions apply to the purchase of gift certificates:
A gift certificate from the Rival Hotel entitles the recipient to receive payment in the form of food, beverages and accommodation at all the Rival Hotel’s points of sale. Gift certificates may not be used to pay tickets to shows or events held in the Rival Hotel’s theatre. If the full amount of the certificate is not used at once, the guest is welcome to visit the reception to receive a new gift certificate for the remaining amount. The holder of the gift certificate is responsible for ensuring that the gift certificate is still valid at the time of payment. The unauthorized resale of a gift certificate may invalidate the certificate. Lost gift certificates cannot be replaced. Gift certificates cannot be exchanged for cash. Gift certificates may be transferred to another individual.
